2010 Parent's Guide (PDF)

Eligibility
Enrollment in CCES Summer Encounters is open to children from all schools. Registrants for K4 programs must be 4 years old by September 1, 2010, and be fully potty trained.

Location
Our camps take place at Christ Church Episcopal School’s Lower, Middle, and Upper School facilities. Before camp begins, you will receive a copy of our handbook that will detail for you where your camper will be dropped off and picked up. We use a carpool system at the Lower School location. If your child will be going home with someone other than the parent/guardian, you must send a signed note on that particular day indicating who will be picking up your child.

Registration & Payment
Registration begins February 5, 2010. To register, you must complete a registration form for each child. You may use the registration form at the end of this booklet or register online. To register online, please visit www.cces.org and click on Summer Encounters in the top right corner. Online payment must be made with a credit card. If you have a credit card on file and additions are made to your registration, new fees will automatically be charged to this card.

Full payment is due at the time of registration and includes a one-time, nonrefundable registration fee of $25/child. Your child will not be enrolled in any program until a completed registration form, registration fee, and full payment are received. A follow-up acceptance notification is sent to all families once we receive a completed registration. Our Parent Handbook is available on our website and more specific information pertaining to each individual camp will be e-mailed to you the week before your camp begins. Last year our first camp filled in March, so please register early to guarantee your spot.

Class Size
At CCES Summer Encounters, we strive for a 1:12 teacher to student ratio. Classes fill on a first-come, first-served basis. After a class reaches its enrollment capacity, a waiting list will be started. Please register early so you are not on the waiting list!

Lunch & Snacks
Our lunch time runs from 12 – 1 p.m. each day. Campers who have scheduled a full day of programs will be taken to our supervised lunch hour. All campers should bring their lunch from home. Snacks will not be included unless noted in the program information. Your child can purchase snacks from our Camp Canteen or bring snacks from home. Canteen snacks include pretzels, chips, granola bars, etc. Please see the registration form to register for snack. If your child is only registered for a half day and you would like your camper to stay for our supervised lunch hour, please feel free to add this option when you register.

Changes & Refunds
If a camp must be canceled due to lack of enrollment, a full refund will be provided for the price of the camp. Withdrawals prior to June 1 will be assessed a $25 processing fee in addition to the $25 nonrefundable registration fee; these withdrawals must be received in writing. There will be no refunds for withdrawals after June 1. A $25 processing fee will be assessed for changes made in the schedule prior to June 1. We will not pro-rate the cost of any week-long programs.


What to Bring & Wear
All participants will receive one 2010 Summer Encounters tee shirt. Please make sure that your child wears shoes appropriate for scheduled activities, uses lots of sunscreen, and brings a water bottle. Dress code is informal, but campers must use good judgment in their choice of clothing. Please send your child in clothes that can get dirty or messy. No clothing may display logos suggesting sexual, alcohol, or drug-related themes or any offensive language. Please clearly mark the name of your child on everything that he or she brings to Summer Encounters.

Extended Stay Hours
CCES offers supervised and enjoyable early and late stay options for children. Early Stay (7:30 a.m. – 9:00 a.m.) and/or Late Stay (4:00 p.m. – 5:30 p.m.) can be added to your weekly camp for $40/each. These options will not be offered for camps during the week of July 6 – July 9. New this year...each day will have a different theme: board games, forts, movie day, outdoor recess, and teacher’s choice!

Behavioral Problems
If there is a situation regarding your child’s misbehavior, the director or counselor of that particular program will take your child aside and remind him or her of proper behavior. If the problem persists, the Summer Encounters Director will speak directly to your child in order to resolve the problem and will also call you, the parent or guardian. If the problem continues after speaking with the parent or guardian, your child will be removed from the program and no refund will be given.

General Policies & Guidelines
No alcohol, tobacco, drugs, weapons, firearms, knives, lighters, fireworks, or explosive materials of any kind are allowed on CCES property at any time. Bringing these prohibited items will result in a child’s immediate dismissal from the program, and no refund will be given. Campers are not allowed in the parking lots during break times. Campus traffic rules comply with state regulations and rules of courtesy. Drivers are expected to observe the campus speed limit of 15 mph, along with all stop signs and crossing areas. Violation of traffic rules may result in the vehicle and the operator being banned from driving on campus.
